As virtual services become more common, you may find yourself delivering more service virtually than ever before. Follow the same procedures to create a virtual service as you would to create an in-person service. 


Tips for virtual services: 

  • One service delivery category per service (e.g., virtual, real/in-person, telephonic). If you deliver the same service in person and virtually, create two separate services, one for in-person delivery and one for virtual delivery (e.g., after school tutoring and online tutoring). 
  • If you use service templates, create one for each service delivery category. 
  • You can edit the service delivery category of a service after its been created in SCRIBE and after participation has been added to it.
  • Update documentation to reflect virtual service data collection (i.e., service definitions, standards of practice, etc.)
  • Use the same naming conventions for all services, regardless of the service delivery category.
  • Service types should remain the same.
  • If importing a service list, make sure to use the correct ServiceDeliveryCategoryID and ServiceDeliveryID codes for Virtual service (codes are 8 and 25, respectively)
  • Contact Xcalibur if you do not see "Virtual" as an option for service delivery category when creating a service. 
  • Export the Service List from SCRIBE to see all services in SCRIBE and sort by the service delivery category. In SCRIBE, click Reports > Services > Service List Export. See also the How to Run a Service List Export article on the SCRIBE Help Desk.
  • When creating a way to document virtual service participation, align participation data collection to the service participation import. Include StudentID, date of participation, amount of time participated, etc. 
  • Work with vendors to include SCRIBE components in their reports to you. For example, ask vendors to use the same studentID for their program as you use in SCRIBE.
